New Core cutover

We appreciated everyone’s efforts in November and December for the first cut-over and hope we can work with you all again to ensure this experience is as successful. 

Below are key HR operational deadlines that we will need to work to in the period from mid-April 2019 up to Go Live in early June 2019. Please can you review these and once again plan ahead so that the operational impact of the cutover is minimised.  

We will do everything we can to minimise delays but the deadlines have been set to provide realistic and reliable information about what is possible in the circumstances.

Service Standards

I’m sure you will appreciate that the demands on the Operations and Recruitment teams as they manage the impact of the revised New Core Cutover and Go Live implementation will be significant.

Our service standard for placing adverts, making offers and responding to basic operational queries will therefore continue to be 5 days during this period rather than 3.

This change is temporary and is made to be honest and realistic.

We will of course be working as hard as possible to beat the target wherever possible, and consistently were able to do so during our first cut over preparations.

We will return to the 3 day target as soon as the Go Live date and its immediate aftermath have passed.

Offers to be sent and reference requests made

All completed offer spreadsheets to be sent to HR including right to work documentation

Setting up new joiners (including honorary appointments) 

Ensure joiners information is sent to HR by candidate otherwise they will not be paid until the end of June payrun (no advances functionality has been built)

Processing Leavers 

Staff leaving in May need to be logged in the HR Service portal otherwise they will be paid for May in full.

Contractual changes**

Need to be logged in the HR Service portal otherwise they cannot take effect until after 3 June 2019 

Contractual changes and leavers for sponsored migrants

 

 

Any new interviews that need to be scheduled (between now and go-live with Core HR)

Need to be logged in the HR Service portal otherwise they cannot take effect until after 3 June 2019 to avoid any potential breaches of our sponsorship obligations and we may be in breach of our Home Office Licence 

                                                                        These will continue to be arranged locally by the hiring manager, in order to continue your preparation for Core HR.

 *This does not affect requests for activity to take place in advance of the cutover period 

** In relation to fixed term contracts and probation periods expiring between 1 May and 3 June, HR will be in contact with you to ensure that a decision is made in sufficient time.
