Team Sites

IT Services: SharePoint unavailable - Saturday 16th December

Every year we provide regular maintenance checks and upgrades on a number of IT systems across the University. This is to ensure all systems continue to run smoothly and efficiently.

This month, we are planning to provide essential maintenance to all University SharePointsites and applications, including web apps and the Examinations Document Management System (EDMS).

When will the maintenance work take place?
Maintenance work will take place on Saturday 16th December, between 09:00am and 1:00pm.

How will this affect me?

While maintenance work is taking place, you will be unable to access the following:

  • SharePoint Team sites
  • Document libraries
  • HR Immigration Monitoring
  • My Details Lite
  • Examinations Document Management System (EDMS)

I manage a site; do I need to inform members?

You do not need to inform site members if they are University staff. However, If University postgraduate researchers and/or students have access to your site; please ensure they are aware of the scheduled maintenance work.

SharePoint Team Sites

The Microsoft SharePoint 2013 infrastructure and platform has been implemented by IT Services and offers Team Sites functionality. 

Team Sites are offered to all staff and teams providing a single, unified location in a website format where users can collaborate and connect with team members, share knowledge, and find organisational resources and information. Team Sites can also be used as newsfeeds allowing you to share information on projects, or for a social meeting workspace to organise team events.

The service is being managed by IT Services together with Site Collection Administrators in each college and professional service.

Team Sites are currently available only for University of Birmingham staff, but future developments will allow collaboration with external users, such as inter-university research groups.


The features and functionality included in the Team Sites service are:

  • Consistent design (across all site collections, sites)
  • Document versioning and sharing (including multi user editing)
  • Discussion forum and feeds
  • Announcements
  • Calendar syncing
  • Online form creation
  • Task and issue tracking
  • Survey features
  • Wiki pages
  • Blogs
  • Other core SharePoint apps
  • Process Management Workflows

Access to Team Sites 

Many members of IT Services staff will already have access to a Team Site – for those who don’t have access and would like to know more about the service then the following links should be useful:

Request a Team Site 

If you would like to request a Team Site, then please go to IT Service Desk > Make a request > From the Communication and Collaboration Service section choose the option Request SharePoint Team Site > Enter your details and select Order Now and then Submit Order
