All student email, Friday 19 June 2020

Dear student,

Today is the last day of the normal summer term!

Although if there is one thing we can be certain of is that this has not been a normal summer term! We understand that all our students, graduating and continuing next year, will still have lots of questions – and as we continue with our preparations and planning we will be continuing to provide you with these regular updates throughout the summer months.   From next week we will be moving to one update per week, and each week we will be providing you with more details about what is ahead.

For final year students we will be releasing more information next week about our Virtual Graduation Celebrations and how you can get involved! More information about enhanced support for our graduating class from Careers Network and all of the details about how we will be issuing your certificates and transcripts will follow over the next few weeks.

For returning students we will be sharing details of our plans for the new academic year throughout July: how we plan to welcome you back; more details about how we will deliver and support your learning; how we will continue to provide student academic support and support for your wellbeing; what campus will look like and how we are preparing to keep the campus community safe.

As the summer months here in the UK continue, we will be closely following the UK Government advice on safe social distancing, test and trace measures and travel restrictions. As we are sure you will appreciate, there are often fast-changing announcements, and we will make sure to keep you up to date, and our plans aligned with the latest advice.

What you can be certain of is that everyone here at the university is working incredibly hard to prepare for the new academic year. We have published our dates for the next year, and remember that we will be operating our new academic teaching year, structured over two semesters.  Semester One is due to commence on Monday 21 September with Welcome Week – and again you can expect that Welcome is going to look and feel a bit different this year!

In the rest of today’s update:

  • Virtual Graduation Celebrations – Dates confirmed
  • Information for graduating students:  IT access and e-mail
  • Reminder of guidance for communicating online
  • Reminder - Annual UoB Sports Awards

Virtual Graduation Celebrations – Dates confirmed

We are delighted to confirm the dates of the Virtual Graduation Celebrations. Launching on Monday 27 July 2020 there will be a week-long celebration of the achievements of our graduating students and opportunities for them to share memories from their time at Birmingham.

The celebrations will include a virtual ceremony, access to a digital yearbook and a chance to connect with your classmates and lecturers in events hosted by your School. The Guild of Students will also be delivering an after party to remember on the night of Friday 31 July. All events will be free to attend and you will be able to download a copy of your digital yearbook to keep as a memento of your time at Birmingham. We will email everyone who is due to graduate in July with further details from next week.

While we recognise that this cannot replace the on-campus ceremony that you and your families were looking forward to, we hope it will be a moment to remember and an opportunity to reflect on your life at university. We also remain committed to delivering a graduation ceremony on campus for the Class of 2020 in March 2021.

Details about how to contribute to the yearbook will be sent out shortly to everyone who may be eligible to graduate in July, so remember to check your inbox if you think that this will apply to you. In the meantime, follow us on Instagram @unibirmingham to see how you and your friends and family can celebrate your success with us.

Information for graduating students:  IT access and email

Following our confirmation last week that we are planning to publish results for all graduating students on Tuesday 30 June via the student portal, we wanted to let you know some further useful information about your IT access and email.

Your normal access to our IT services and your student email account will be closed 28 days after your results are confirmed – for UG Finalists that means Monday 27 July.   For PGT finalists it will be later, and after all results are published, and we will let you know.

After the 28 days your student @bham email address will be deactivated and you will automatically be issued with an alternative alumni email account (Your student user name followed by @alumni.bham.ac.uk). All of your existing email will be transferred into your new alumni account and any email directed to your student address will be forwarded to your new alumni account for three months.

Access to all of our student IT systems is also deactivated after 28 days, including access to your student version of Office 365.  So you will need to make sure that you transfer any files you want to save to another location or account.
You can always register for a free MS OneDrive and with a free OneDrive account you also get free access to Word Online which allows you to create and edit Word documents stored on your OneDrive account.  Other free online services are available (including Google Docs and Open Office) but you need to make sure that you have transferred any files out of your University system storage before 27 July.

Reminder of guidance for communicating online

COVID-19 has led to us all becoming more reliant on online communications and we encourage you to make use of social media and video conferencing to stay connected with the student community.  We would also like to remind you of the expectations we have of our students when communicating online - read our guidance here
