Roles and responsibilities of editor levels 

This page outlines the different editor roles within Contensis along with the responsibilities and requirements of each of those roles. Before requesting access to Contensis or having your user level changed it is important you understand what is expected of you as an editor, approver or super-approver for our external website and intranet.

General principles

Our website serves over 22 million sessions a year - that's 22 million  times a year that a user is looking for information on our website. As it is such an important platform for our institution it is important that we follow a set of guiding principles to ensure we maintain a high quality experience.

  • Commit to publishing accurate and accessible content through effective review and publishing processes.
  • Engage with the web users community to support each other and contribute to development ideas and collaorative projects.
  • Ensure that all content published represents the University brand positively and is reflective of the quality of the institution.

User levels

Web editors


Role: Edit and create web content in line with policies and standards. Submit content to approvers with as few errors as possible.

Responsibilities:

  • Use editor checklist before submitting any pages for approval.
  • Should publish content using the most appropriate page structure and use of components.
  • Will always submit pages which use accurate language, grammar and spelling which uses appropriate text formatting.
  • Produce fully accessibility compliant headings, videos (captions), images (alt-text), tables, and linked documents. Where linked documents cannot be made accessible, accessible alternatives should be provided.
  • Where appropriate, always looks to update existing content rather than create new pages.
  • Ensure pages include the correct metadata, use of URL structure and naming conventions.
  • If an approver flags any issues, it is the responsibility of the editor to correct these issues before it can be resubmitted for review.

Role requirements:

  • Completion of the Contensis training course.
  • Completion of the web accessibility training course.
  • Pass a short test to assess competence at this level.
  • Understanding of GDPR.

Approvers


Role: Users who approve content for other editors but may also submit new or edited content themselves. Provide advice and guidance to web editors and champion policies, procedures and standards.

Responsibilities:

  • All responsibilities identified for the ‘Web editor’ role.
  • Approve only compliant and best practise content to the website.
  • Revoke content submitted that is not of a high enough standard. Where appropriate guide editors to help them address any issues.
  • Use analytics to inform decisions around web content and structure.
  • Content created/edited by an approver should be checked by a second approver to double-check quality.
  • Take an active role in monitoring and address accessibility issues within their area of responsibility.

Role requirements:

  • Completed the training for all editors.
  • Knowledge and experience of Google Analytics. (Recommended completion of course identified on LinkedIn Learning.)
  • Able to set KPI’s through data studio/analytics.
  • Understanding of the brand rules and how they apply to digital platforms.
  • Understanding of Search Engine Optimisation.
  • Clear identification of which area they should be able to approve – this should be agreed with super-approver.
  • Expected to be a user who is regularly using Contensis as part of their role.

Super-approvers


Role: Full ownership for the content and quality of the sites under their approval/in their area. Act as a representative for their area/College/Department at Super-users meetings as a digital expert. Possess a high level of knowledge of digital standards and regulations. Control permissions for users within their area.

Responsibilities:

  • Control permissions for their area and oversight of editor/approver lists.
  • Deliver and support development of training and follow up training to both editors and approvers.
  • Develop local content strategy and channel management
  • Advice and accept/decline new web requests.
  • Be a port-of-call for editors and approvers for wider concerns around their roles and responsibilities e.g. introduction of new guidelines.
  • Manage relationship with, and report issues to, the Digital Channel Management team.
  • Monitoring and making recommendations to users around user experience in their area, and making sure that this fits with the broader website.
  • Attend Website Super-user meetings helping to shape the broader website strategy and development.
  • Responsible for overall monitoring of all relevant areas within Silktide – Accessibility, content quality, policies etc.

Role requirements:

  • As ‘Approver’ level plus...
  • Basic knowledge of HTML.
  • Broad understanding of user experience techniques and considerations.
  • Ability and to measure performance of content and can setup and maintain reporting through Google Data Studio.
