Room Bookings 

Rooms in St Francis Hall are available to book free of charge by members of the University. Priority is given to Chaplains and student-led faith societies, however University departments and Guild can all book rooms as well. Members of the University are also welcomed to use the piano in the Worship Room and the Cadbury Room for practice/rehearsal (walk-ins welcomed, no booking required, pianos can be used when the rooms are free of bookings).

How to book

To book a room in St Francis Hall, please complete the online booking form using the link below. Please email any additional forms, such as risk assessments, to the Multi-Faith Chaplaincy Administrator on  mailto:chaplaincy@contacts.bham.ac.uk

If you plan on catering at your event or hosting an external speaker, additional forms will need to be completed.  See below for further details.

Before submitting the booking form, please ensure you or your event leader has read the Health and Safety guidelines.

When to book

Bookings open for each term on the final two weeks of the preceding term. Ad hoc bookings can be made at any time. Booking forms should be submitted at least 14 days before your event.

Additional forms and guidelines

Please note: There are extra forms to complete if you plan on catering or hosting an external speaker, and the H&S guidelines must be read by all event leaders.

Catering

If you are planning to serve any food that requires cooking or complex preparation at St Francis Hall, then a catering request form must be completed. If you are simply opening shop-bought biscuits or cakes etc. then no form is required. No catering may take place without the Hygiene Manager's approval.

Please ensure that the completed form is submitted by email to the Multi-Faith Chaplaincy Administrator mailto:chaplaincy@contacts.bham.ac.uk at least 10 working days before your event, in order for it to be processed.

External speakers

If an external speaker (i.e. a non-member of the University) is addressing or leading your event, a speaker request form must be completed in order to comply with the University's policy on freedom of speech.

If you are a Guild of Students recognised society, please complete the relevant online form at least 21 days before the event.

If you are not a Guild of Students recognised society, then an St Francis Hall form needs to be completed and returned via email or to the St Francis Hall reception desk at least 21 days before your event.
