Reporting suspicious emails has just got easier

As part of our ongoing commitment to protecting you from phishing, spam, and other email threats, we’ve introduced a quicker and simpler way to report suspicious emails directly from Outlook. 

The new Report Email button is available in the ribbon at the top of your Outlook mailbox. This button replaces the multiple Microsoft report email options and makes reporting email threats faster and easier. 

How does it work? 

If you receive an email that looks suspicious or you’re unsure about its contents, do not click any links or open any attachments. 

Instead, simply click the Report Email button in your Outlook ribbon.  

The message will be safely moved to your Junk Folder and reported to IT Services where it will automatically analysed, helping us to identify and block similar threats across the University. 

The button is available in both Outlook on the web and the Outlook mobile app. 

Why does reporting matter? 

By reporting suspicious messages, you help protect the wider University community by enabling us to: 

  • Detect and block similar phishing emails more quickly 
  • Analyse emerging threats more effectively 
  • Improve future security awareness and training  

What if I don’t use Outlook? 

If you normally use another email client, you can sign in to Outlook on the web or the Outlook web app to report suspicious emails using the new button. 

If you access your email via the MyUoB app, click “View in Outlook” if you suspect an email is suspicious and then use the button in Outlook.
