Information about academic transcripts and how to obtain one from the University

What is an academic transcript?

A transcript is a summary of a student's academic performance and progress to date. It lists the modules taken during each academic year, and the marks obtained in each module. An official copy will be printed on University transcript paper, which is branded and printed with the University crest.

A transcript contains the following information:

  • Start date at the University
  • Programme of study
  • A list of modules that a student has taken to date, together with the marks or grades achieved
  • A list of modules that a student is currently taking (if still a student at the University of Birmingham on the same programme)
  • The institution(s) where the programme of study was, or is to be, delivered
  • Research thesis title (if applicable)
  • Qualification and final result achieved for the programme of study
  • Leaving and conferment date (if applicable)
  • From 2015/16 onwards any enhanced activities that a student completed (for example, club captain)

A transcript will only reflect confirmed marks following a University Progress Board, and cannot include any additional information.

How can I get a copy of my transcript?

If you are a current student

You will automatically receive a free copy of your transcript at graduation.

During your studies, you can view a summary of your transcript online by using the Secure Document website.

If you require any additional copies of your transcript you can order them using the Secure Document website.

Important notice for PGCE students who started their studies before September 2003

We are unable to produce a transcript for students who started their PGCE before September 2003 as detailed module information was unavailable before at this time.

We can produce an official statement confirming successful completion of the programme, but this will not include individual mark information.

Important notice for Bachelor of Dental Studies students who started their studies before September 2009

We are unable to produce a transcript for students who started their BDS programme before September 2009 as detailed module information was unavailable before at this time.

If you are an Erasmus/exchange student

Taught Student Administration will arrange for a copy of your transcript to be sent to your home address. Please ensure that your home address details are up to date on my.bham.ac.uk. A second copy of your transcript will be posted to your home university by the Study Abroad and Exchange Office, International Relations. If you have not received your
transcript within 6 weeks of receiving your online results, please contact the Document Production Team, Registry at sae-tsa@studenthub.bham.ac.uk.

When should I expect to receive my transcript?

Following graduation

If you attend a Congregation in July or December, your transcript will be enclosed in the same envelope as your certificate. If you choose not to attend, your transcript will be posted with your degree certificate.

Please note that the University cannot accommodate any special requests in relation to your free transcript; for example, it cannot be enclosed with any other documents, or be sent by DHL/to an address other than the home address on your student record.

Following completion of a non-graduation programme

A non-graduation award is an award gained at the University of Birmingham on a programme which does not need to be conferred at a graduation ceremony.  The award will include both your transcript of marks and degree certificate.

These programmes can be at both undergraduate and postgraduate level and a list of these programmes includes:

Undergraduate

  • Certificate of Higher Education
  • Diploma of Higher Education
  • University Certificate
  • University Diploma
  • Advanced Certificate

Postgraduate

  • Postgraduate Certificate
  • Postgraduate Diploma
  • Postgraduate Diploma in Education (PG Dip Ed)
  • Graduate Certificate
  • Graduate Diploma

Following the Board of Examiners decision that you have successfully  completed your programme your School will update your record.  Your award will then appear in Online Results on my.bham.  Taught Student Administration will then arrange for your certificate and transcript to be posted out to you.  The whole process normally takes between 6-8 weeks from when your record has been updated.

 

Online orders

If you started your course in or after 2002, we aim to produce your transcript within seven working days.

If you started your course prior to 2002, your transcript may take longer to produce – please allow three weeks. Please also be aware that we cannot guarantee that we will be able to provide a transcript.

At busy times, for example following the end of the summer term in June, and the start of the academic year in September/October, it can take up to three weeks. Please ensure that you allow sufficient time when placing your order to meet any deadlines you may have - it does take time for the orders to be processed, and time must also be allowed for the postage of the order.

Delivery options

For delivery within the UK, orders will be posted using first class mail. We will endeavour to dispatch your transcript the same working day for all orders placed before midday.

For delivery outside of the UK, it is recommended that you select the DHL delivery option which is available at an additional cost.  If you do not select this option, your transcript will be posted out via standard airmail, for which there is no tracking facility.

Alternatively, where available, you can arrange to collect your transcript from your School office once it has been produced, by selecting the click + collect option from the drop-down menu on the Secure Document website. Please note that your transcript can only be collected during normal office hours (please check these with your School), and remember that you will need to take a form of photo ID with you.

Please note that during busy periods such as degree congregations, it may take a little longer to produce your transcript.  If this is the case you will receive an email to notify when your transcript is available.
