Your Wellbeing

The College Wellbeing team are a confidential, non-judgemental, and inclusive service for you to access throughout the duration of your studies. You can access your College Wellbeing Service in person but also via telephone and online methods of communication.

Information on support provided by the Wellbeing Service, how to contact your Wellbeing Officer(s) and guidance/application procedures for Extenuating Circumstances and Extensions can be found below.

What emotional support is provided by the Wellbeing Service?

All students can book 30-minute wellbeing appointments through their College. During this appointment, Wellbeing Officers will have a conversation with you to explore potential causes and concerns that may impacting on your studies, this may include challenges to both your physical and mental wellbeing. Following this, Wellbeing Officers will provide you with tailored and sensitive signposting to specialist services both internal and external to UoB. Your Wellbeing Service is also the first point of contact for students who have a Reasonable Adjustment Plan.

Wellbeing Officers are not therapeutic practitioners or counsellors, UoB has its own wide range of Mental Health support services including UBHeard, and these may be some of the services you can be referred to.

The support provided by Wellbeing Officers will always be relevant to your academic environment as Officers work closely with academic and Education Support teams to ensure the advice is appropriate.

Wellbeing Officers will always aim to encourage and empower you to engage with your studies and the guidance will be reflective of that approach.

What practical support is provided by the Wellbeing Service?

Alongside emotional support, the service will also provide you with practical advice and guidance that will enable you to progress through key milestones in your studies such as enrolment and Welcome, assessments and progression, and end of studies.

Examples of practical advice and guidance includes:

  • Activities that cover areas such as time management, low level stress awareness, mindfulness etc.
  • Explanations of Codes of Practice and University processes whilst empowering you to take necessary actions relevant to your circumstances and course requirements. 
  • Tailored signposting and referrals to specialist support both internal and external to UoB, this can include referrals to the Guild of Students.
  • Guidance on applying for a range of university processes including Leave of Absence (and Return), Extenuating Circumstances and Extensions.
  • Supporting the implementation of your reasonable adjustments as recommended by the Student Disability Service.

Extensions and Extenuating Circumstances 

What do I need to do before I apply?

Before applying, we strongly recommend that you:

  1. Read the University's Guidance on Extensions and Extenuating Circumstances.
  2. Collect and gather any required evidence to support your application.
  3. Check the module and assessment information on Canvas, this includes the correct module code and title - you will need this for your application.

How do I apply?

We have two separate forms, please ensure you complete the correct form to prevent delays to your outcome.

Submit an Extension Request

Submit an Extenuating Circumstance Request

The form will ask you to:

  1. Provide your student details - please ensure you take care in accurately entering your student ID number and student email address.
  2. Summarise your circumstances - please provide as much information as possible as the character count allows.
  3. Provide your assessment details - please ensure that you accurately select your assessment type. If your module has more than one assessment, please list these separately.
  4. If required, attach your evidence. If you have additional evidence, you will be able to email this separately to your school wellbeing team.

Evidence Guidance

If your request requires evidence to support it, you must ensure the following:

  • All evidence must be from a third party.
  • Evidence must align with your circumstances, including the date of your circumstances.
  • If the evidence was written in a language other than English, you must also supply an official translated copy.
  • Evidence must be presented on official, headed paper or have an official stamp or seal of the issuing authority.

If you cannot provide evidence at the time of application, you will have 5 working days to provide this or an update to your Wellbeing Officer. Failure to do so, will lead to your request being declined.

What can I do if I am dissatisified with the outcome?

Unfortunately, the outcome issued by the Wellbeing Team is final. If you remain unhappy with your outcome following receipt of your overall results following the June exam board, you can submit an academic appeal. Appeals must be submitted within 10 working days after results are released and support is available from Guild Advice.

Where can I find the College Wellbeing Team?

The College of Social Sciences Wellbeing Team is based at the College Wellbeing and Engagement Hub in Room 104 on the 1st Floor of the Alan Walters Building. The Hub is open Monday to Friday. 10:00 – 16:00.

I have a complaint regarding my experience with the Wellbeing Service. Who can I contact?

I have specific requirements for my appointment. Who can I share this with?

Whilst all of our Wellbeing Officers are highly trained, we understand that you may prefer to speak with someone who shares particular characteristics with you such as gender, sexual orientation or religion. Whilst we may not be able to accommodate all requests, we recommend you contact your School Wellbeing Officer to discuss this further.
