How to claim casual holiday pay

Not used all your annual leave? This is what you need to do to make sure pay for any extra hours you’ve worked are added to your monthly salary.

  1. Click on Time and Absence
  2. Click on Existing Absences
  3. Click on Add
  4. Click on the Type menu
  5. Click the Casual Annual Leave Hours option
  6. Click the Business Title menu
  7. If you have multiple assignments, they will all be listed here. However, you can only submit annual leave for one job at a time. If you wish to use your annual leave balance for other assignments, then you need to submit a new annual leave entry. Select them here.
  8. Click the title of the assignment you wish to claim for
  9. Now decide how many hours to claim.

10. Your available balance of annual leave can be seen in red.

11. If you want to claim fewer days than the balance displayed, this will always be possible.

12. But if you want to claim all your available balance, the next steps will show you what to do…

13. Point the cursor at the Absence Type Balance.  You’ll see that the available balance is rounded up to 2 decimal places and what the real number behind it is.

14. When entering the number of hours to claim you need to round down to two decimal places. You can’t enter the rounded up figure(in our example 0.91) becauseyour allowance is really 0.909. The system would giveyou an error if you tried to enter 0.91.

15. You can’t enter the real figure either though (in this example, 0.909) because the Hours box recognises a maximum of two decimal places. The system would give you an error if you tried.

16. Instead, round the figure down to two decimal places. In this example, it would be 0.90.17. First, we need to select a date.  Click the Select a Date link > Start Date Duration.

17. Select the relevant date and click on hours field. The system will automatically insert 7.5 hours (a full work day).  Amend this figure to correspond the number of hours you wish to claim, rounded down to two decimal places.   In this example, we will enter 0.90. Submit.

18. The absence request will automatically be approved and paid out in the next available payroll (depending on the time this information is submitted)

19. Now you know how to claim for any annual leave hours you’ve accrued. The extra funds will appear in your monthly salary.
